Administrative Assistant

Job Title: Administrative Assistant

Department: Church Operations

FLSA Status: Paid

Hours: 20 hours week

Salary: $12,000 year

Reports to: Rector


Position Summary: 


The individual in this position provides administrative support in carrying out the operational responsibilities of the Church Office. This individual is also the primary administrative assistant for the Church ministerial staff. The successful candidates carries out these functions while providing a cheerful and organized atmosphere for all who enter or contact the Church, meeting the needs of staff, guests, volunteers, and congregants with care and discretion.


Position Responsibilities:

  • Performs administrative duties for Pastor and Vestry
  • Responsibilities include screening calls; managing calendars; making travel, meeting and event arrangements
  • Prepare reports and financial data
  • Coordinating with other support staff and member relations
  • Requires strong computer and Internet research skills
  • Requires flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of ministerial management and staff, outside clients and vendors
  • Sensitivity to confidential matters is required
  • Prepare weekend and special holiday bulletins and insert
  • Prepare funeral bulletins and staff notification form
  • Prepare wedding bulletins, on request, and staff notification form
  • Copy newsletter and arrange for collation and preparation for bulk mailing
  • Deal with document production in an accurate, timely manner, both those requested on a regular basis, as well as those needed on a case-by-case basis
  • Coordinate volunteer staff to assist with document production and distribution
  • Answer telephones and respond to email requests from parishioners for office assistance
  • Oversee volunteer receptionists who assist with hospitality ministry of the office
  • Consult with clergy, pastoral and office staff in responding to their requests for documents and for contacts with parishioners
  • Attends weekly Staff meetings, and attend monthly Session meetings
  • Participates in the annual budget estimating process
  • Performs other duties as assigned by the Parish Administrator that contribute to the administration and life of the Church

Essential Knowledge and Skills:

  • Proficiency in the Microsoft Office Suite programs (Word, Excel, PowerPoint, Outlook); Proficiency with desktop publishing
  • Strong organizational skills; ability to multi-task and handle requests from multiple sources
  • Have effective verbal, writing and editorial skills (proficient in English)
  • Have a caring attitude, excellent people skills, high integrity and exercise strict discretion and confidentiality

Children's ministry coordinator

Job Title: Children’s Ministry Coordinator

Department: Christian Formation Dept.

FLSA Status: Paid

Hours: 10 – 15 week

Salary: $14,000 year

Reports to: Rector


Position Summary:


Oversight of Children’s Ministry in conjunction with the Clergy. Managing the development of training, equipping and recruitment of teachers, leaders, and facilitators. To serve as a staff member within a vibrant congregation, working with a committed staff and gifted lay leadership to nurture children, from birth through 5th grade and their family, in the love and grace of Jesus Christ.


Position Responsibilities:

  • Recruit, train and coordinate workers for Children’s Ministry (CM) classes and events, worship services and Church of the Nativity programs. Works cooperatively with all staff and volunteers
  • Provide a warm, friendly and learning environment for children and families
  • Uses appropriate child development knowledge to best meet the needs of Church of the Nativity children in curriculum selection, child discipline, classroom grouping, etc. 
  • Communicates the needs of the children’s program to other staff and church leaders as appropriate. Organizes, sets-up and stocks classrooms with necessary supplies
  • Coordinates sanitation and safety protocols for CM
  • Works with Buildings and Grounds for repairs
  • Visits classes for evaluation and teacher support to address any issues or emergencies that arise. Teaches classes as needed
  • Coordinates and provides leadership in developing and implementing a young family outreach ministry focused on children activities
  • Assists Senior Pastor in ministering to young church families involved in CM as requested; to consult with parents regarding an issue with their child; and to refer to certified counselors as appropriate
  • Attends monthly CM Team meetings, weekly Staff meetings, and attend monthly Session meetings
  • Participates in the CM Team annual budget estimating process
  • Coordinates childcare for Church of the Nativity services and events
  • Participates in the life and worship of the Congregation
  • Performs other duties as assigned by the Parish Administrator that contribute to the administration and life of the Church
  • Requires working on Holy Days (Sunday, Christmas & Easter, etc.)

  • Experience with strategic planning

  • Education management experience and expertise
  • Experience and expertise managing teacher recruitment and training
  • Experience of supervision of employees and volunteers
  • Leadership development and management
